Law Firm Receptionist / Administration Officer (Full-Time)
We are seeking a reliable and professional Receptionist / Administration Officer to join our law firm.
The Role (Reception):
1. Receives phone calls, takes messages and directs calls, updates on google docs
2. Manages mail and parcels both incoming and outgoing
3. Checks company mailbox & pickup newspapers from downstairs
4. Arranges Couriers
5. Coordinates the client arrival and meeting process including preparing meeting rooms for meetings and tidying meeting rooms
6. Coordinates security processes such as access cards / manages Attendance report
7. Records general reception expenses on the Leap system
8. Acts as the central point of contract for the organization
9. Administers archiving process for closed case documents and sends to national storage if appropriate
10. Coordinates ordering of office supplies fortnightly.
The Role (Administration):
1. Process the payment of matter related expenses & Records on the Leap system
2. Records tax invoices on MYOB & Reconciles accounts monthly
3. Files all the tax invoices / receipts of both general and matter related expenses
4. Records ‘Transit money register’ on Leap
5. Manages deferred payments
6. Sends out new employee documents & creates a LEAP ID
7. Sets up a desk & phone for new employees
8. Act as a backup for booking staff travel arrangements
